When you’re put on the spot for a project update …

Lead with the headline.

Someone turns to you in a meeting.

“Can you give us a quick status?”

You weren’t expecting the question.

What do you do?

Here’s what NOT to do:
❌ Say you’re not prepared.
❌ Give a long lead-up.
❌ Ramble.

Instead, lead with the headline.
One sentence that captures where the project stands.

If you only had 10 seconds to speak, what would you say?

Start there.

Why?

Sometimes that’s all the time you’ll get.

Especially with senior leaders.

They want the bottom line first.

If they need more detail, they’ll ask.

Then you can add two or three supporting points.

Think about a news headline.
↳ It grabs your attention.
↳ It tells you the story in seconds.
↳ It makes you want to learn more.

A project update should do the same thing.

It also gives people something they can remember and repeat later.

It reminds me of a technique we learned in my very first coach training session with the Co-Active Training Institute.

“Bottom line it.”

Coaches and leaders don’t need the 5-minute backstory.

They need the one thing that matters most.

We even learned a hand gesture for bottom lining it:
↳ Reach up.
↳ Grab the idea.
↳ Pull it down.

The next time someone asks, “Can you give us a quick status?” ask yourself:

If I could only say one thing…

What would it be?

What’s your headline?
