Lead with the Lead

Start with your key sentence. Your point. Your theory. Your ask.

Whether it’s a talk, a text or an email, lead with what’s most important.

Three things got me thinking about this.

First, how do we grab people’s attention from the start? I heard two days of incredible talks at TEDWomen 2016 this month. The speakers did not start with, “Hi, I’m glad to be here and I’m excited about what I’m going to share with you and I’d like to thank a few people before I get started.”

No, they grabbed us with their opening words. With a bold statement or a question or a story. Here are examples from some of my favorite TED talks.

“So I want to start by offering you a free no-tech life hack, and all it requires of you is this: that you change your posture for two minutes.” So begins Amy Cuddy‘s talk, Your body language shapes who you are.

“What makes a great leader today?” There’s no mistaking what Roselinde Torres will address in her talk, What it takes to be a great leader.

“It’s the fifth time I stand on this shore, the Cuban shore, looking out at that distant horizon, believing, again, that I’m going to make it all the way across that vast, dangerous wilderness of an ocean.” Diana Nyad grabs the audience right at the beginning of her story in Never, ever give up.

Second, how do we help busy people easily respond us? Quite simply, by putting the key information in the opening words of our emails and texts.

Beyond putting your main message in the subject line, use your first 10 to 12 words to make your point.

Many people have email preview screens that show these words. Make the most of that space by getting to the point. Because your recipient may not read anything else.

Third, how do we spot the key idea in any interaction? When a meeting ends, can you summarize the most important point in a single sentence? What’s the headline? The tweet? The snap?

Take a few minutes at the end of a conversation or meeting to identify the one key takeaway. Share it with your colleagues.

Given the complexity of many projects and the extensive collaboration that’s required to meet goals, this helps others see the forest for the trees.

This keeps a team focused on what’s most important. It guides their actions. And it increases the likelihood of success.

12 Things I Learned from Blogging Every Day for a Month

At the beginning of this month, I started an April adventure. What was it? To complete each of my daily dozen tasks every day for an entire month.

Why did I do it? To experiment. To create change. To get more done. To make decisions. To enjoy life more.

Here’s what I learned. Most of it was from blogging every day for a month, the one activity I did faithfully every day.

1. It’s easier doing things on most days, rather than every day. Sometimes the day’s schedule precluded doing everything on my list. And some activities shouldn’t be done daily, like lifting weights.

Days when I traveled called for extra creativity. For exercise, that meant getting in some steps while waiting at the airport. It also meant packing lighter “athletic” shoes that would fit in my bag so I could use the hotel fitness center.

They were a pair of slip-on Keds that took up a sliver of space in my bag compared with my usual workout shoes. A podiatrist might disagree, but they worked for 30 minutes of walking on the treadmill. The longer-term solution? When I replace my current workout shoes, I’ll get a smaller, lighter pair.

The benefit of doing an activity every day is that you don’t have to think about it. That makes it easier to do on a consistent basis. But once it’s become a habit, it’s easier to do it on most days of the week, rather than every day.

2. To make a new habit stick, focus on just one each month. Some days had a breathless quality of racing through activities to check them off the list. Some were already automatic, like taking vitamins. But others required chunks of time, like blogging, reading, exercising and sleeping. Even doubling up on activities didn’t fully do the trick.

What will work better? Focusing on one area each month. That’s inspired by Gretchen Rubin‘s year-long happiness project. She focused on one area of life each month for a year. In the final month, she combined all of her newly established habits and rituals.

So I’ll take my daily dozen, with a few tweaks, and assign each to a month over the coming year. The month of May? It’s a tossup between healthy eating and sleep.

Four years ago, on Mother’s Day, I became a lifetime member of Weight Watchers after losing nearly 50 pounds. And while thankfully I’m not the person who regained all of the weight and more, I would not keep my membership (within 2 pounds of goal) if I went to a weigh-in today.

It’s a struggle, this constant vigilance and self-care. The words of a Weight Watchers leaders still ring in my ears, “It ain’t over ’til you’re over.” How true.

So this May will be the month of healthy eating. Back to the healthful simplicity of the “power foods” – fruits, vegetables, whole grains, nonfat dairy and lean protein.

3. Clarify what you most enjoy by analyzing how you spend your time. What do you most love to do? One of mine is writing. It’s usually a guaranteed flow state, every time.

My April adventure clarified this because blogging was the one activity I did daily (other than taking vitamins, which I’m choosing not to count because it was already a well-established habit and takes only a minute to complete).

Whether it’s writing a report a work, or an inspiration for a community charity organization or this blog, I love to write. So I’ll focus on areas where I can do more than that.

4. Celebrate progress. One of my purposes in blogging daily was to clarify the focus of this blog. It began as an exploration of the future of corporate communications. Then it evolved into a learning journey, with a focus on the data analytics aspect of a career pivot.

And while I didn’t fully crystallize the focus of this blog, I did make progress. I know what I can take off the list. While I’ll still devote learning time to reading blogs and books about data analytics, along with some online courses, that specifically won’t be the focus of this blog.

I’ll continue to write about learning in general. It’s something we’ll all need to do throughout our lives, regardless of the the specific subject.

In my work, I’m intrigued by the intersection between data science and communication. As I find a way to link the two in an interesting way, that may be the subject of some future blog posts.

5. The more effortless you make your goals, the easier is it to accomplish them. With WordPress on my MacBook, iPad and iPhone, I could draft and post to my blog wherever I was. My Spanish is app is the same – all I need is 10 minutes and I can do my lesson for the day. My library is with me all the time with my Kindle app. And so on.

This is where I was especially proud of my employer and the vision to connect people with their world, everywhere they live and work. (Opinions on this blog are mine.) This is a great enabler – perhaps the great enabler – of what’s the most important in each of our lives.

Other enablers? Keeping my yoga mat and workout gear in my car. Having my PFD (personal floatation device) stacked beside that for standup paddle boarding sessions.

6. Complimentary activities help you get the most out of your day. For me it’s walking on the treadmill and reading (or streaming favorite TV shows on my DIRECTV app).

Thinking about 3 things I’m grateful for in the last 24 hours while brushing my teeth (thank you, Shawn Achor).

Maximizing family interactions by sitting in the dining room while I’m reading or writing or whatever so when my teens stroll by and want to engage (yes, they can be like cats), I’m there. This works in an office environment with colleagues, too.

7. Don’t try to do too much. Yet doubling up on activities only works to a point. Sometimes I struggle with enjoying the present moment. Being fully there. Not racing ahead to the next thing that I feel needs to be done.

By consciously limiting the number of things and activities I commit to, I know I’ll do better in that smaller set of activities. Given my goal to blog daily, I feel the quality of my posts wasn’t always what I wanted it to be. I didn’t have time for research, for reflection and for revising.

But I did learn some helpful strategies. When I finished one post, I’d start a new draft post and jot down my ideas in a brief outline. Then when I re-opened it to start writing, the initial thinking was already done.

This goes back to the principle of taking small steps. It also relates to my Spanish studies. While I’m not devoting big chunks of time to it, I can spend a few minutes a day. Studies are showing this goes for exercise too.

8. If something isn’t working for you, let it go. I don’t have to do everything. If something isn’t a fit, I can let it go.

This is one of the reasons I’m excited to read Angela Duckworth‘s book on Grit when the pre-order downloads to my Kindle app on May 3. This guru of tenacity and perseverance says it can be okay to quit. Just not on your hardest day.

One of my daily dozen was 2 minutes of power posing, inspired by Amy Cuddy‘s book on Presence. I’d like to think it made me stand up and sit up straighter during the day, and to take up more space. Why? To feel more confident and live life more fearlessly.

But I don’t need to do it every day. I can save it for times when I have to give a big presentation or otherwise tackle a tough challenge.

9. Relationships with people are more important than checking tasks off a list. When my daughter or son wants to talk with me, I stop what I’m doing (as hard as that can sometimes be) and I listen and chat.

Here I’m inspired by Shonda Rhimes and her Year of Yes. Whenever her daughters asked her to play, she’d stop what she was doing to spend time with them. It doesn’t take long. But it means so much.

My daughter and I have had lots of chats this month – on the road and at home as she’s been choosing her college. It’s been a learning experience. Sometimes you don’t end up where you expected, but there can be a whole new world of possibilities. It all depends on your perspective.

10. Intense activity can’t solve all of your problems – or the world’s problems. There are still sad moments. Anxious moments. Frustrating moments. We live in a world that seemingly gets crazier and more unpredictable every day – with events that are beyond our control.

Keeping busy all the time won’t solve those problems. But it will help you make progress in your own life. And that’s what makes us happy.

11. We can still control an awful lot in our lives. Our minds – with thanks to Carol Dweck and her growth mindset concept. What we do – or don’t do – every day. How we show up and share our gifts. What we choose to do and who we do it with. Being clear about what we can control and what we can’t.

12. Love is all there is. My sister Katie shared this with my last year during a very sad time her family’s life. This was a favorite saying of her mother-in-law Sylvia, who was unexpectedly near the end of her life. It makes me smile through tears to think of Sylvia, Katie and the rest of the family.

But in the end, what could be more true? Love really is all there is.

As someone who’s all about achieving goals – sometimes with a relentless zeal that my immediate family enjoys teasing me about – this one made me stop and think. Especially this month as I figured out how to cram a lot in every day.

Life truly is about the people and the relationships.

And there’s always something to love about others. No matter who they are. It helps to remember that everyone is carrying a heavy load and traveling a difficult path, even if their life appears perfect on their Instagram feed. I’ve learned to be kinder to myself and to others.

Because love is all there is.

Hacking Time

In my April adventure to do my daily dozen every day this month, a thought occurred to me. Is there enough time in each day? And if not, how can more time be created?

Here’s the math, by the minute:

  • Morning pages: 20
  • Power pose: 2
  • Weights: 10
  • Vitamins: 1
  • Reasonable to-do list: 15
  • 5 fruits and veggies: included in meals
  • Active minutes: 30
  • Family member time: variable
  • Blog post: 60-90
  • Spanish app: 10
  • Reading: 30
  • 3 things I’m grateful for: 10
  • Sleep: 420

Setting aside sleep and focusing on waking hours, that’s 218 minutes, or 3.63 hours. For simplicity, let’s say 3.5 hours.

Like most people, my schedule doesn’t have many open hours in it. So how will this work? By doubling up on activities. Not so I’m multitasking, which is a myth anyway, but by combining activities that naturally go together.

Think of it as a “twofer” – something satisfying 2 needs simultaneously. Or in business jargon, as a “stacked win.”

Morning pages and problem solving. One of the natural outcomes of morning pages, according to their inventor Julia Cameron, is a way to solve problems. If I’m facing a challenging at work or home, writing about it longhand often leads to solutions. And morning pages can be a way to sketch out my next blog post.

Power posing and meditating. Despite the hype about meditating, it hasn’t grabbed me. Yet. While there’s a meditative quality to walking, doing yoga and paddle boarding, it hasn’t been an overt practice in my life. Until I started my 2-minute power poses, thanks to Amy Cuddy. During that time I can focus on my breathing and clear my mind.

Reading and news. Working in corporate communications and now in marketing, it’s imperative to stay on top of the news. My 15-minute news rituals can count toward my reading time. Of course, it’s more enjoyable to read for 30 minutes at the end of the day, but on busier days, reading is already in the plan.

This weekend I stocked up on books, thanks to my local library. Recent releases that caught my eye: Mind Hacking, Why We Work and Social Media for Writers.

And I always have my Kindle app, especially handy if I’m waiting for an appointment or to pick up a family member. Right now it’s Social Physics and revisiting The Happiness Advantage.

Treadmill time and reading. Cardio time walking on the treadmill is also great reading time. There’s catching up with longer-form news and articles via iPad and in print. And there are plenty of books on my iPad (see item above).

Exercising and socializing. My husband is my paddle boarding buddy. We not only enjoy the time together, but we also look forward to gliding across the water and being in nature (thanks to Laura Vanderkam for highlighting the benefits of anticipating weekend activities). And a friend has begun to meet me for a Sunday morning yoga class, brightening both of our days.

Blogging and learning. This blog is a learning journey. It began with a focus on the future of corporate communications. As my career pivoted into marketing, it’s became a way to learn how to learn, especially in the area of marketing analytics. So time spent on my blog is often time spent learning about the latest in my current field. This hack comes from Penelope Trunk and her course on blogging.

Recharging and moving. This includes things like walking meetings, or walking during lunch. It’s hard to beat getting out in nature for fresh air and sunshine. And I often find that walking during the day can help me solve problems I’ve been wrestling with. Other ways to recharge during a short lunch break – a few minutes with my Spanish app, listening to a podcast or meeting a colleague.

Commuting and learning. Driving to and from the office can take 50 to 90 minutes a day. That’s a big chunk of time. How can it better be used? Here are 3 – listening to TED talks, listening to Spanish radio stations and listening to podcasts, especially on data analytics.

And here I’m especially grateful to work for a company that connects us to our world, everywhere we live, work and play (note: opinions expressed in this blog are my own). That puts me a third of the way on today’s list of what I’m grateful for.

Technology and connectivity make our lives better in many ways. Recently I started using the Starbucks app as an easy way to pay. But I hadn’t tried the ordering feature. Until a colleague Sandy Smart-Ashburn raved about it. Short on time this morning, I ordered a latte through the app. It felt like a near-miracle to skip the line and pick up my beverage from the barista.

Give Yourself the Gift of Presence

What’s an upside to waking up in the middle of the night?

Here’s one: when a pre-ordered book from Amazon downloads after midnight on the publishing date.

A Christmas gift arrived early this week with Amy Cuddy‘s new book, Presence: Bringing Your Boldest Self to Your Biggest Challenges.

You may have been among the 30 million views of her TED talk, Your Body Language Shapes Who You Are.

If so, you know about “power posing.”

When you’re facing a challenge – whether it’s a big presentation or a job interview or an everyday interaction – strike a powerful pose for 2 minutes. Making your body big will make your mind feel more confident.

Two years ago I tried this for the first time. I was planning our Chairman’s annual leadership meeting. As I was meeting with my boss to finalize the agenda, he suggested I should speak at the meeting.

WH-A-A-A-T?

The terror and excitement of speaking before 200 of my leadership peers fought a valiant duel. In my mind. In seconds. And then I said, “Sure, I’d be glad to speak.”

The opportunity won out over the fear. But now I had to perform. And it had better be good.

I began with the usual speaking preparation I would bring to any C-suite leader in my role at the time leading corporate communications.

The topic? Leading Communications.

Or, how my fellow leaders could lead communications among their teams, cascading leadership meeting messages across the enterprise.

And perhaps not so coincidentally, it’s also the original title of this blog.

The brainstorming, writing and practicing began. The weekend before the event I set up my iPhone to record myself giving the presentation in the meeting room.

Two days before the event, I did a dry run for a few colleagues and team members.

And it it fell painfully flat. No connection. No spark. No magic.

They were nice about it. But their body language spoke louder than any words of encouragement ever could.

There were still 48 hours to redeem myself.

I remembered the time Mark Cuban came to speak at our company in the early 2000s. He drove all night to get there. He was friendly and engaging with our employees.

Most memorable were his words about client meetings and commitments. A client would ask for something, and the group would agree it would be delivered the next day.

Later, Mark and his colleagues would look at each other and say they had no idea how to do what they’d just committed to. But they had all night to figure it out. And figure it out, they did. Time and time again.

If they could do it, so could I.

Picking myself up off the metaphorical floor, I got to work. I revised my speech so it focused more on the audience. And what was in it for them.

But what made the most difference on the day of my speech was the simple, yet powerful advice of Amy Cuddy in her TED talk.

It was to adopt the Wonder Woman pose for 2 minutes, before my speech.

The only problem?

My talk was right after a few other speakers, so I couldn’t  power pose in private, as Cuddy recommends. So I did the next best thing. I took up as much space as I could, without violating too many social norms.

I sat up straight. I stretched out one of my arms across an adjoining chair. I put another hand on my hip. I planted my feet solidly on the floor. I took deep breaths.

The audience body language post speech? Smiles. Applause. Fist bumps.

Yes, power posing really works.

Two of my work colleagues screened Cuddy’s TED talk at a Lean In circle last year. It was a great session, with ideas like jumping into group conversations one beat after the current speaker’s last word.

So I couldn’t wait for Presence when it came out this week. I wanted to know more secrets to bringing my best self to the challenges of life.

What is presence? Cuddy defines it as “the state of being attuned to and able to comfortably express our true thoughts, feelings, value and potential.”

And what did I find? A well-researched, highly entertaining, inspiring and actionable book. Most of all, it reminded me to do the following:

  1. Start each day with a power pose
  2. Stand up straight
  3. Take up space
  4. Breathe deeply
  5. Share the power of presence with others.

The book also underscores the importance of personal power – an infinite resource that’s always available to you. It’s yours for the taking.

As Cuddy describes personal power, “it’s about access to and control of limitless inner resources, such as our skills and abilities, our deeply held values, our true personalities and our boldest selves.”

As a new year dawns, I hope you’ll bring your boldest self.
